A first-time visitor walked through your doors, filled out a connection card… now what?

The way you follow up can make the difference between a one-time visit and someone who becomes part of your church family. A great follow-up email should feel personal, timely, and inviting—not like a generic mass message. Here’s how to craft one that makes an impact:

1. Send It Within 24–48 Hours

The sooner, the better! Reaching out quickly shows that you genuinely care about their experience.

2. Make It Personal

Use their name and reference something specific about their visit if possible. A little personalization goes a long way!

3. Keep It Warm and Simple

Your first email shouldn’t overwhelm with too much info. Instead, focus on gratitude, next steps, and an invitation to connect.

Here’s a simple script you can customize:


Subject: Thanks for Visiting, [First Name]!
Hi [First Name],
I just wanted to say thank you for joining us at [Church Name] this past Sunday! We loved having you with us, and I hope you felt welcomed.
If you have any questions about our church or want to get plugged in, I’d love to help. You can reply to this email anytime!

4. Add a Personal Touch
